Summary
We’re a product-and-services company seeking an outspoken, honest, and articulate teammate who will be the operating spine for our CEO and Sales Director. You’ll translate objectives into project roadmaps, run the operating cadence, and keep cross-functional initiatives moving—while providing focused executive support where it maximizes impact. Prior experience isn’t required; we hire for potential, clarity, and follow-through.
Key Responsibilities
Strategy & Project Coordination (Primary)
- Own the initiatives portfolio: Intake, clarify problem statements, define success metrics, draft RACI, milestones, and timelines.
- Run the operating cadence: Weekly exec stand-ups, RAG status, risks/dependencies, and clear un-blockers; monthly Operating Review with dashboards.
- OKR (Objective & Key Results) execution: Map company/functional OKRs to projects; track progress, surface slippage early, and drive course-corrections.
- Decision enablement: Prepare crisper-reads/briefs and decision memos; capture decisions, owners, and due dates in a visible log.
- Single source of truth: Maintain an initiatives dashboard (e.g., Notion/Asana/Click Up) with owners, milestones, and status—kept current.
- Cross-functional coordination: Align Sales, Product, Engineering, and Ops; manage dependencies and vendor deliverables.
- Metrics & reporting: Produce weekly snapshots and a concise monthly narrative: achievements, risks, next bets.
Executive Support (Enablement)
- Priority-aligned calendar architecture: Time-block for strategic work, protect focus, and sequence meetings to decision points.
- Meetings end-to-end: Agenda design, pre-reads, minutes, action registers; ensure follow-ups land on time.
- Travel & offsites: Purpose-led itineraries and post-mortems.
- Confidential gatekeeping: Triage inbound so leaders stay on the highest-leverage work.
Office & Team Administration (As needed)
- Coordinate facilities, vendors, asset logs, security routines, and general operations; assist team travel as required.
- If you haven’t done every task above, that’s okay—we’ll teach you. What matters most is resourcefulness, integrity, and the confidence to speak up when something needs fixing.
What Helps You Thrive Here
- Systems thinker: You connect goals→ projects → metrics, and design lightweight processes that people actually use.
- Outspoken ownership: You ask direct questions and advocate for the best path—even with senior leaders.
- Clear communicator: You write in bullets, not novels; you can brief and debrief busy people fast.
- Bias to action: You chase outcomes, not perfection; you close loops.
- Data-literate: Comfortable with dashboards or ready to learn, and turning signals into decisions.
- Tech-curious: Microsoft Office fluent; eager to learn new tools and automate the boring parts.
